When you book with us, we want you to be completely satisfied with the service we offer.  Below are the terms and conditions, which let you know what to expect from us and what we expect from you. 

What we offer 

SCL offer different programmes, including, but not limited to, Breakfast Clubs, After School Extra-Curricular Clubs, After School Care Clubs, Saturday Soccer Club, Holiday Activities, INSET day childcare and Soccer Camp (together or separately we refer to these as the ‘SCL Programme’). More detail about the services we offer, and our current prices can be found on our website www.wearescl.co.uk or at our venues. 
Please note that not every activity pictured in our literature or on the website is available at every venue so please check venue-specific details using the SCL website to find what is available and where. 


Bookings are subject to availability and accepted on a first come, first-served basis.  To secure a place all bookings must be made online. All prices are correct at the time of printing of any hard copy material or as shown online. SCL reserves the right to change prices or conditions at any time prior to the start of an SCL Programme. We shall let you know as soon as we can if there is any change to the booking information and if you are not happy with the change, then you can cancel the booking without charge or accept the changes, which ever you prefer. 
Any bookings received without full payment (childcare vouchers or school invoice) will not be confirmed until payment is received in full. We will do our best to ensure that your child is given a place on the SCL Programme that you choose, and on the date you choose, but we cannot guarantee the place until we receive payment online. 
Please check any booking confirmation that you receive carefully to ensure the dates, location and personal details are correct – please inform us as soon as possible if there are any discrepancies and at least 24 hrs before the start of the activity that you have booked on. 
All places on the SCL Programmes need to be booked in advance and online to ensure correct staff-to-children ratios are met. 

Late Bookings 

If an advance booking for an SCL activity has not been made prior to the activity start date and the customer arrives at the site on the activity start date, access will only be granted at the discretion of the SCL staff on site and acceptance of a late booking charge of £5 added to the payment. Customers should also note that admittance will only be permitted if: 
  • The customer is already registered for SCL services and holds a current booking account. 
  • There are enough staff on duty to ensure compliance with required staff to child ratios. 
The customer will receive notification that a late booking has been charged to their account and will be required to make payment online. 


You can pay by credit or with debit cards and for our Holiday Activities, After School Care Clubs and selected Breakfast Clubs, childcare vouchers or Tax-Free Childcare account payments are accepted. 
If you are using childcare vouchers for Holiday Activities, please contact your childcare voucher provider and quote SCL's individual reference number which can be found at https://sclsummer.co.uk/childcare-vouchers/ to authorise the payment. SCL are unable to do this on your behalf; therefore, this is your responsibility. All childcare voucher payments must be released within 48 hours of making the booking. 
When paying via your Tax -Free Childcare account, please search for “SCL” along with the name of the venue. Several accounts will appear with names of our venues – please ensure that “SCL” is in the name attached to the venue otherwise payment will not be received us. 

Returned Payments 

If the bank returns payment, then any bank charges incurred by SCL because of returned payments must be paid in full by you, in addition to the original booking fee. 
SCL does not accept any liability for bank charges you may incur, or if childcare vouchers are not authorised for payment. In all cases, the responsibility rests firmly with you to ensure all payments are valid at the time of booking and please remember that your child’s place is only confirmed when payment is cleared and received by us. 

Changes and Cancellation by You 

You can amend the dates and times of your booking for “like for like” services via your booking account up to 24 hours prior to the start of the session. Whilst we shall do our best to provide options for alternative services, we cannot guarantee these will be available.  
If you wish to cancel your booking, in the first instance, please check if you can amend your booking to another suitable time. If you still need to cancel the service, please refer to the Cancellation and Refund Policy below. You can make your request by contacting enquiries@wearescl.co.uk where you will be assisted by a member of the SCL Team within 24 working hours. 

Cancellation and Refund Policy  

Holiday Clubs, Breakfast and After School Care (including Inset Day) 

All services can be amended up to 24 hours before the session starts and changed for a like for like booking in the future. If no alternative services are available, the session has already started or the request is within 24hrs of the start of the session please contact enquires@wearescl.co.uk to discuss further options. 

After School Sports Clubs 

Prior to the first session of an After School Sports Club starting you may cancel your course if we receive 48hrs notice. If you are unable to attend individual dates throughout the course, we are unable to offer refunds for individual sessions. If you have any other situations where you need to cancel a course, please contact enquiries@wearescl.co.uk where our team will discuss further options.  
SCL may need to amend activity programmes, schedules, services, dates, times and/or venues on occasions for reasons that may be out of our control. In the case this prevents the whole course from taking place a refund will be issued, however in the case this only impacts part of the course we will offer a monetary voucher to be used against any of our services. 

Changes and Cancellation by SCL 

SCL can make changes to your booking at any time, with reasonable notice. If the changes do not suit you we shall offer you another place on the same or similar SCL Programme or issue a refund if no alternative is available 
Should SCL need to cancel a SCL Programme, for any reason within our control, we shall do so with as much notice as possible and you will be offered a full refund or a place on the same or similar SCL Programme at a later date.   
If any SCL clubs are forced to close due to the compulsory closure of its premises (e.g., due to severe weather, teacher strikes, government advice and restrictions etc), customers will be able to amend their booking to another suitable time or follow the Changes and cancellation by You terms. 

Promo Codes 

All promo codes are for Holiday Club bookings only and are subject to terms and conditions. All promo codes can only be used once. Promos cannot be used in conjunction with any other offers and are only applicable to new bookings. Promotions apply to selected venues only. 
SCL reserves the right to exclude venues and cancel the promotion at any point, with immediate effect. This may be at one or all of the venues. This promotion applies to selected venues only and are subject to availability. Standard terms and conditions apply. 

Changes to Booking Terms and Conditions 

We reserve the right to make changes to any of the Terms and Conditions without notice by posting revised terms and conditions on our website. The new terms and conditions will be effective immediately and apply to any continued or new use of our Services.  We may change the Website, the Service, or any features of the Service at any time. 

Other Terms 

Your rights under the terms shall extend to any participant but such extension shall not affect our rights to terminate or vary any contract in accordance with the terms. 
Each of the paragraphs of these terms operates separately, if any court or relevant authority decides that any of them are unlawful or unenforceable then the remaining paragraphs will remain in full force and effect. 
These terms are governed by English law and the parties agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim that arises out of or in connection with these terms, its subject matter or formation including non- contractual disputes or claims.

Use of Service Policies 


Children cannot attend if they are sick (including vomiting, diarrhea, conjunctivitis, and head lice). All children who are ill or infectious are to be kept at home during their illness and for 48 hours after the last symptom occurs.  SCL is not responsible for injury occurring because of a pre-existing medical condition. Medicines will only be administered if written consent is given by parent. 
Where a child falls ill during the day, and we think it necessary, their parent/guardian shall be called to take the child home and you agree to collect your child without delay. 


We ask all parents/guardians to ensure children arrive on time, and no earlier than 15 minutes before the designated start time for the day/session or the relevant SCL Programme. We are unable to take responsibility for children who arrive earlier. Being late affects the other children and the plan for the day, so please ensure you arrive on time. 


We also ask all parents/guardians to arrive at least five minutes before the designated end time for the day/session. No child will be able to leave the premises without a parent/guardian unless written notification is received before the start of the SCL Programme detailing suitable alternative arrangements. 

Late Collection Fee 

SCL reserves the right to charge additional fees for late collection of children. This fee will apply to every SCL Programme at a rate of £5.00 per child for every period of 15 minutes or part minutes thereafter the appointed collection time. You shall be advised by the site leader of the fee on collection of your children and a charge will be applied to your online account.  No payment will be accepted on site. 

Behavioural Standards and Exclusion 

SCL expects all children to always behave in a manner that is acceptable to both other children and SCL staff. 
SCL reserves the right to exclude a child from the SCL Programme where he/she fails to maintain the required behavioural standard. Such failure shall include, but not be limited to, bad behaviour, racial, sexual, verbal or physical bullying of a fellow child or member of staff. Transportation of the affected participant(s) home will be the responsibility of the parent/guardian, and no refund or credit will be issued. 

Health and Safety 

SCL require parents/carers to notify us, of any pre-existing medical, physical or behavioural conditions, or medication requirements of any child, so that we can make provision for the child’s specific needs This information is made available to the SCL on-site team via the Child Information Form and Detailed Register. If this information is not provided, we reserve the right to exclude the child. 
SCL have a strict NO NUT policy, which MUST be adhered to during all service provisions. Further to this policy, there may be occasions where other severe allergies are made known to us, where we will be requesting restrictions on any particular days. We will notify you via email on these occasions. 
First Aid will be administered to children in the event of an accident whilst under our care.  If the accident is serious, we may need to call the emergency services and you will be informed immediately.  We have comprehensive policies and procedures for major accidents that all our staff are trained on, specifically please note: 

EpiPen Guidelines 

SCL staff are not qualified to administer EpiPens (an emergency treatment of anaphylaxis). However, they are permitted to do so if we receive a letter containing written permission from the parent/guardian. The parent/guardian must state in the letter that permission is given to administer the EpiPen but that they fully understand that staff may not be qualified to do so and that they (the parent/guardian) accept full responsibility. 

Medical Conditions and Allergies 

The parent/guardian must state on their child’s details page if there are any medical conditions, allergies or any relevant background information that SCL staff may need to be aware of while their child is attending a SCL Programme. We would ask parents to contact SCL in advance to discuss any individual requirements. 


The parent/guardian must give written consent for the administration by SCL staff of prescribed medication and complete a SCL medication form. 

Emergency First Aid 

The parent/guardian gives consent for SCL to administer emergency first aid and see professional medical help where necessary. 


All SCL Education Group staff, regardless of position go through a strict safer recruitment process including enhanced DBS clearance reference checks, disqualification by association checks and complete ongoing training. 
Staff have DBS (formally CRB) checks in place, however, in the unlikely event of any incorrect information provided by the staff when completing the DBS we cannot be held responsible. 
SCL staff have a duty to act if they suspect a child in their care may be suffering from abuse or if a child makes a disclosure about abuse. In such an event, the member of staff will follow the Safeguarding Children Policy as detailed in our policies and procedures. 

Equal Opportunities 

SCL is an equal opportunities employer and welcomes all children, regardless of their gender, ability, race or religion. Each child attending a SCL Programme is of equal value and is entitled to equal access of opportunity. We operate a zero-tolerance policy on discrimination or bullying of any kind. 

Additional or one to one support 

If a child requires additional or one to one support, SCL must be notified before attendance and reserves the right to cancel the booking if suitable arrangements have not been arranged. SCL are unable to source one to one support internally but do welcome a one to one carer from external sources, subject to suitability checks. 

Lost Property 

Please ensure children do not bring valuable toys or belongings when attending SCL Programmes. Mobile phones and other electrical devices are not permitted at our venues. SCL cannot accept liability for lost, stolen or damaged items. Please ensure clothing and other belongings are clearly labelled with the child's name to help us return unclaimed items. Lost property will be kept at the SCL office for a period of three weeks after the end of the SCL Programme. If items are still unclaimed after this period, SCL will distribute them to local charities. 


From time to time we take photographs at our SCL Programmes that may be used for marketing and promotional purposes. If you would rather your child was not included in any photographs, we must be informed in writing either at the time of booking by selecting to opt out of this option or in writing before the start of the SCL Programme. 


SCL does not accept liability for loss or damage to property, sickness, personal injury or death of any participants unless directly caused by the proven negligence of the company or its servants. Where incorrect or misleading information is provided on the booking form, whether medical or otherwise SCL are under no liability whatsoever in respect of personal injuries or otherwise. Organisers providing the facility and their servants are under no liability whatsoever in respect of personal injuries, loss or damage to property whilst attending any SCL Programme and neither SCL nor the organisers providing the facility or their servants shall be liable for direct or indirect losses if SCL, a venue or facility we use closes. 


Our Public Liability Insurance covers all children under our care. 

Mobile Phones and Electronic Devices 

Mobile phones and other electronic devices (e.g. Tablets, games consoles) are prohibited on our SCL Programmes and at our venues.  If you wish for your child to carry a mobile phone and they are seen using it without prior permission from the site leader, we will confiscate it until the end of that day. SCL will not take any responsibility for the damage or loss of any electronic devices that are brought onto SCL Programme. 

Policies and Procedures 

SCL Programme policies and procedures will be available to view at the registration desk of holiday activity venue and available from head office upon request, venue details can be found on  http://wearescl.co.uk/holiday-activities

Data Protection 

We will use your details to contact you via email/mail or text with future information about our services. You may opt out of our mailing list when booking or afterwards at any stage. SCL is registered under the Data Protection Act.  

Your Booking Account 

You or SCL may terminate this agreement at any time.  We may suspend our service to you at any time with/without cause and will refund you for any unused vouchers. Once terminated we will delete all personal information we hold. 
If you do not log into your account for 24 months, we may treat your account as inactive and delete it from our systems. Further information on our retention policy is set out in our Privacy Policy.    

Account and Password

You’re responsible for keeping your account name and password confidential. You’ll immediately notify us of any unauthorised use of your account.  We don’t have access to your current password, and for security reasons, we may only reset your password 


SCL is fully committed to delivering the highest standards of teaching, coaching and childcare to the community. We aim to ensure every child has a fantastic experience of any SCL Programme and they cannot wait to come back. If you, or your child, are not entirely satisfied with the service we provide, we would like to hear about it. If we are aware of any problem while your child is still attending a SCL Programme, we can aim to resolve this at an early stage. You can be assured that any complaint will be taken very seriously and in the strictest confidence. 
In the first instance, the complaint should be made to the site leader, who will look into the matter. If you feel the response to the complaint is not acceptable or you would like to take the grievance further, the complaint should be made in writing and addressed to: Customer Complaints, SCL, Unit 7, Lakeside Business Park, Sandhurst, Berkshire GU47 9DN. or sent via; enquiries@wearescl.co.uk, or, if a sensitive issue by calling SCL Head Office on 0345 644 5747 and we shall advise accordingly.
